1. Administration Coordinator

Plan and execute the administration function related to leave distribution, manpower resource deployment and stores planning and management for the Department in accordance with Company/ Departmental regulations, to ensure optimum utilisation of resources to cover the 24 hrs shift operations whilst maintaining an effective quality service delivery, in adherence with the SOP.

Maintain adequate stationery, a regular contact with Customs for unclaimed bags and ensure all equipments are functional for a smooth operation.

What you will do

EFTA

  • · Maintains continuity of work operations by documenting and communicating needed actions to management: discovers irregularities and determines continuing needs. Resolves administrative problems by identifying and analysing information to create better solutions.
  • · Administers data through relevant systems to ensure that administration processes are followed.
  • · Maintain records of staff overtime, in-lieu, sickness, absence, and leave. Update HR systems, i.e. TER, in a timely and accurate manner.
  • · Maintains administrative workflow by studying methods; implementing cost reductions; developing reporting procedures. Guide employee actions by researching, developing, writing, and updating administrative policies, procedures, methods, and guidelines.
  • · Provide consistent and accurate customer service over available communication methods.

Qualifications & Experience: MINIMUM QUALIFICATIONS/EXPERIENCE/KNOWLEDGE/SKILLS

Qualifications

12 Years schooling or equivalent

Experience:

Administration.General administration 3+ Years

Knowledge/Skills:

  • Experience in an administration environment, preferably in a similar capacity
  • Should be proficient on MS packages, Company systems (TER/ROS) & Resource Management Systems

Minimum 1-2 years of experience of sales and/or customer service

YOUR MISSION

  1. Deliver the highest level of customer service and respond in a timely and efficient manner to all incoming inquiries and correspondence, both internal and external.
  2. Process and coordinate all orders received via mail or otherwise, following existing Company policies, procedures, and programs
  3. Checks incoming stocks of seasonal products against the respective orders on the system, creates delivery forms and forwards details to the Warehouse.
  4. Checks stock provisions of open orders, and follows up pending blocked orders
  5. Keep order book up-to-date reflecting customer cancellations, Purchase drops etc.
  6. Process customer shipment claims or return requests following existing Company policies, procedures, and programs.
  7. Provide assistance and support to internal partners including Sales, Marketing, Finance, Operations representatives relating to order processing.
  8. Transfers seasonal orders to SAP; sets customer discounts and determines Net order amounts
  9. Work towards both independent and team KPI’s to improve business standards, service levels and financial results.
  10. Coordinate a cross-functional collaboration with Sales, Marketing, Warehouse and Finance department towards common goals set by the organization.
  11. Manager Ad-hoc projects and reports as required by the line manager.
  12. Prepares Monthly OOH, Cancellations, Shortages, Freight, Inventory Valuation and Physical Inventory reports.
  13. Prepares Daily Order Fulfilment report in sales order period.
  14. Ensuring all packed shipments are invoiced in SAP accurately
